Donor management for NGOs

Donor management for NGOs

One record per supporter, with the donations your team has recorded, a register of recurring pledges and numbered receipts issued from the panel — not from a spreadsheet held by a single person.

In an association or foundation, donor information scatters: one sheet for the amounts that arrived in the bank, another for people who redirect part of their income tax, a third for sponsors, plus a folder of handwritten receipts. When the person who kept the files leaves, the organisation loses its memory. 4ong pulls it all into the panel: the contact record (person or organisation) with GDPR consent per channel, the donations your team records, the register of recurring pledges, numbered receipts and the register of people redirecting income tax. Amounts are entered by hand — 4ong does not process payments and collects nothing on your behalf — and receipts and the annual donation certificate are generated from the donation record, on the Plus plan and above.

  • A contact record for people and organisations — details, tags and roles, GDPR consent per channel (e-mail, SMS, phone, post) with history; role-based access by section and GDPR anonymisation on request.
  • Donations entered by hand — donation, membership fee, sponsorship; a donation is never deleted, only cancelled. 4ong does not process payments.
  • Recurring pledges as a register — amount, frequency, next due date, missed payments flagged; nothing is collected automatically (Plus plan and above).
  • Numbered receipts (such as CH-2026-000001, no gaps) and an annual donation certificate per donor, generated from the donation record (Plus plan and above).
  • A register of people who redirect part of their income tax, with the national ID number validated and stored encrypted, masked in lists, and CSV export.
  • Numbered sponsorship contracts, with instalments, benefits and a yearly list of sponsors.
  • CSV import of contacts, with a dry run before saving and duplicate detection (same e-mail or same company ID).

What a donor record looks like

The contact record gathers, in one place, the details of the person or organisation, their tags and roles, and GDPR consent for each channel — e-mail, SMS, phone, post — with its history. Next to it sit the donations your team has recorded, with date and type: donation, membership fee or sponsorship. Because a donation is never deleted, only cancelled, the history stays verifiable. The income report and the top-donors list are calculated from the same data, so when you prepare the year-end campaign you know who has given for years and who gave once.

Recurring pledges: a register, not collection

Recurring gifts are the most stable income an NGO has and, paradoxically, the worst tracked: a standing order stops and the organisation finds out six months later. In 4ong each recurring pledge carries its amount, frequency and next due date, and when an expected payment has not been recorded, the pledge shows as missed and appears in the in-app alerts. Be clear about what this means: 4ong collects nothing automatically — there is no direct debit and nothing is drawn from a card. You record the payment when it reaches your account, and the register shows you in time who has fallen behind. The pledge register is available from the Plus plan.

Numbered receipts and annual certificates

From the donation record you generate the receipt, in a continuously numbered series with no gaps (for example CH-2026-000001), and for each donor you can generate the annual donation certificate — from the Plus plan. Issuing is an action you take: nothing is sent to the donor by itself. Printable documents follow Romanian-law templates and are in Romanian. Separately, the register of people redirecting income tax holds their national ID numbers validated by check digit and stored encrypted, masked in lists, with a countdown to the yearly deadline and a CSV export for the organisation’s consolidated statement. 4ong files nothing with the tax authority — you or your accountant do that.

Protecting supporter data

Donor data is personal data, and in many organisations it currently travels as email attachments. 4ong keeps it in one place with role-based access by section: the volunteer preparing an event does not need to see the amounts, and the accountant sees what they need. Communication consent is recorded per channel with its history, the national ID number in the income-tax register is stored encrypted, and on a person’s request their data can be anonymised. 4ong does not send messages to donors by itself: the recorded consent is a register you respect when you communicate outside the platform.

Frequently asked questions

Can I import my contact list from a spreadsheet?

Yes, as a CSV import of contacts: up to 1,000 rows per request, with a dry run before saving and duplicate detection — the same e-mail or the same company ID. The import covers contacts; your team then records donations on each donor’s record.

How do I know a recurring pledge has gone unpaid?

Every recurring pledge has a next due date. If the payment has not been recorded by then, the pledge is marked as missed and shows in the in-app alerts. 4ong collects nothing automatically: you record the payment when it reaches your account.

Does the platform issue donation receipts?

Yes, from the Plus plan: the receipt is generated from the donation record in a numbered series with no gaps, and the annual donation certificate is generated per donor. Issuing is your action; nothing is sent to the donor by itself. Printable documents follow Romanian-law templates and are in Romanian.

Can corporate sponsorships be recorded too?

Yes. Sponsorship contracts are numbered and carry instalments, agreed benefits and the registry status at signing. The yearly sponsor list helps the sponsor with their own tax declaration, which they file themselves — 4ong files nothing.

Who in the organisation can see the amounts donated?

Access is granted by role, by section. A volunteer may only see contact details, while donations and financial documents stay visible only to the roles that need them.

Does the donor module replace accounting software?

No. 4ong keeps the operational donor records; the only exports are the CSV of the income-tax register, the contacts import file format and printable documents — it does not export to accounting software. Double-entry bookkeeping stays with your accountant or their software.
