FAQ
Frequently asked questions
Answers for associations, foundations and non-profit organisations: donor records and recurring pledges, fundraising campaigns, volunteer hours, funded projects and a reporting calendar.
Quick start and data import
How long does it take to get our association running on 4ong?
You can start in minutes: create the organisation, invite your colleagues and give them role-based access. What takes longest is entering your existing data — contacts are imported from CSV, while donations, membership fees, volunteers and projects are then recorded in the application.
Can I import the donors and members we currently keep in spreadsheets?
Partly. The CSV import covers contacts — people and organisations: you save the spreadsheet as CSV, map the columns onto the 4ong fields, and the import detects duplicates by e-mail or tax code (CUI). You can run a dry-run import first, without saving anything, and import up to 1,000 rows per import. Donations, membership fees and volunteer hours are not imported; they are recorded in the application.
What actually changes when we move from paper records and Google Forms to 4ong?
Instead of a receipt book, a volunteer spreadsheet and a folder of contracts, you get one database where every person has a record and a history. Google Forms stay useful for quick sign-ups — you export the responses as CSV and import the contacts into 4ong; then you record donations, generate numbered receipts (from the Plus plan), keep track of membership fees and validate volunteer hours in the same application.
Donors and donations
How do I keep track of donors and donations?
Every donor has a record with contact details, giving history and the documents issued in their name; you see the lifetime total and whether a recurring pledge exists. Donations are entered manually by your team — 4ong does not process payments — and they are never deleted, only cancelled, so the history stays complete. Contacts can be grouped with tags and roles and worked on as lists.
How do recurring donations work?
In 4ong they are a register of pledges, not an automatic collection. You record the pledge (amount, frequency, first due date), and the application calculates the next due date and flags missed payments when an expected payment has not been recorded. No card or account is ever debited: the money arrives through your usual channels and you record the payment. The recurring-pledge register is included from the Plus plan.
Can I issue documents for donations and sponsorships?
Yes, within the limits of your plan. From the Plus plan you generate, from the donation record, numbered receipts with no gaps (a series such as CH-2026-000001) and an annual donation certificate for each donor; printable documents are Romanian-law documents, in Romanian. For sponsorships you keep numbered contracts concluded under Romanian Law 32/1994, with instalments, benefits and the yearly sponsor list, which helps sponsors with their D107 declaration — which 4ong does not file. Companies need those documents for the deduction provided by the Fiscal Code (Law 227/2015, art. 25 para. (4) letter i)).
Does it also handle the 3.5% income tax redirection?
You keep a register of form 230 submissions: the person redirecting, with a validated personal ID number (check digit) stored encrypted and masked in lists, the status of each form (received, filed etc.) and a countdown to the 25 May deadline. You can export the list as CSV for the organisation's centralised statement. 4ong files nothing with ANAF — you or your accountant do that. The amounts are only transferred if your organisation is entered in the register of entities/religious units (registration via form 163).
Fundraising campaigns
How do I build a fundraising campaign?
You create the campaign with a fundraising goal, a deadline and a clear purpose, then link donations to it as you record them. The campaign page shows progress against the goal, the breakdown by source and the net result. Campaigns have no public donation pages and take no online payments: the actual fundraising happens on your own channels.
Can I run several campaigns in parallel?
Yes. Each campaign has its own goal, deadline and result, and donations are linked to a campaign as they are recorded. You compare what worked — the Christmas appeal, an emergency fundraiser or the 3.5% redirection campaign — and decide where your team's effort is worth spending next year. The number of campaigns per month depends on the plan (2, 10, 40 or 150 on Start, Plus, Pro and Premium).
What reports do I get when a campaign ends?
The campaign page shows the total raised against the goal, the breakdown by source and the net result. Those are the figures you need for the board or for the annual activity report; the report text itself you write.
Volunteers and volunteer hours
How do I manage the volunteer base?
Each volunteer has a record in the numbered volunteer registry, with the volunteering contract and the task sheet. You see who has an active contract, and in-app alerts warn you when a volunteer has none. Without an active contract you cannot assign activities or hours, and minors need their guardian's consent.
Does 4ong keep the volunteering contracts required by Law 78/2014?
Yes, as a register. For each volunteer you record the volunteering contract, with the task sheet, the start date and the duration. From the validated hours you generate a numbered volunteer certificate. Printable documents are Romanian-law documents, in Romanian.
How are volunteer hours logged?
Hours are entered by the organisation — volunteers do not log their own hours and have no account — and then validated. The validated hours accumulate per volunteer and form the basis of the volunteer certificate.
Projects, grants and reporting
How do I track a funded project?
The funded-projects module (included from the Plus plan) holds the project pipeline, the budget by line, the expenses and a reporting calendar with due dates. Expenses are recorded against a budget line, so you see how much of each line has been spent and what is left.
What helps me with reporting to the funder?
You get budget execution by line, the list of expenses — each with a reference to the supporting document (text or link; 4ong does not store files) — and the calendar of reporting due dates, plus in-app alerts when a deadline approaches. The narrative and financial reports to the funder are written by you; 4ong does not generate them.
Can I manage funds from several funders at the same time?
Yes. Each project has its own budget and expenses, while donations, sponsorships and membership fees are recorded separately, by type. The income reports show the amounts received by category. The number of projects open at the same time depends on the plan.
Members and membership fees
How do I keep the register of members?
You have member categories and a record for each member, with the current status and the membership-fee ledger. The structure is designed for an association set up under Romanian Government Ordinance 26/2000, and for the general assembly you can produce the voting list.
How do I track membership fees?
You define the fee per member category, and in the dues ledger you see who has paid and who is in arrears, and for how long. For the general assembly you pull the list of members entitled to vote. 4ong does not send fee reminders and does not dispatch general-assembly convocations — you send them yourself, on your own channels. A fee payment is recorded manually.
Pricing and account
How is the subscription price set?
The price depends on the plan, not on the number of volunteers: volunteers and donors are records in your database, not users with an account. The Start, Plus, Pro and Premium plans (€1, €5, €10 and €20 per month) differ in the number of users with an account (5, 25, 50 or 100), contacts, campaigns per month, active volunteers and open projects, and in features: receipts, annual certificates, the recurring-pledge register and projects start at Plus, while advanced reports (LYBUNT/SYBUNT, retention) start at Pro. The exact prices and limits are on the Pricing page.
Is there a trial period?
Yes: the first 12 months are free, with no card, on any plan; during that time you can import your real contacts and set up your first campaigns. If you decide to continue, the data stays exactly where you put it — you don't redo the setup from scratch.
Can I give colleagues different access, by role?
Yes. Access is granted by role and by section — a volunteer coordinator, for example, can work with volunteers without seeing donations. The number of users with an account depends on the plan.
How does 4ong connect to the rest of the 4b2b ecosystem?
It does not connect through data. 4ong is a separate product alongside 4invoices, 4notify, 4appointments and 4hosting, and there is no automatic exchange between them: 4ong does not send messages through 4notify and does not export data to 4conta or 4invoices. For invoices or messages to donors you use those applications separately.
Personal data and access
How is donor personal data handled and what about GDPR?
Every contact has their GDPR consent recorded separately per channel — e-mail, SMS, phone, post — with a history, and on request you can anonymise the record. The personal ID number in form 230 is stored encrypted and shown masked in lists. Access is granted by role, so sensitive data is only visible to those who need it.
What happens to our data if we stop using 4ong?
Donations are never deleted, only cancelled, so the history stays complete as long as you have an account. The exports available are the CSV export of form 230 and the printable documents (receipts, certificates, contracts); there is no general export of the whole database. If keeping a copy of your data matters to you, take that into account before you decide.
