From sign-up to the first activity
The volunteer enters the numbered register with contact details. An agreement is concluded for them, with a task sheet; if they are a minor, a guardian’s consent is needed. Only once the agreement is active can the coordinator assign the volunteer to an activity and enter hours — the system refuses assignments and hours for a volunteer without an active agreement, and an in-app alert tells you if you have such a case. None of this depends any longer on who keeps the good list on their personal phone.
Hours: entered by the organisation, validated
Volunteer hours are entered by the organisation, not by the volunteer — 4ong has no volunteer portal and volunteers do not log their own hours. Each entry is then validated, and only validated hours count towards the total and the certificate. For funder reports, a log kept up to date, with validated hours per volunteer, is far more credible than a round number estimated at the end. The number of active volunteers you can hold at once depends on the plan.
Agreements and certificates
The agreement is recorded on the volunteer’s record together with its task sheet. The volunteer certificate is numbered and generated from the validated hours, at the volunteer’s request — so it no longer has to be reconstructed from memory when a student asks for it for an application. Printable documents follow Romanian-law templates and are in Romanian.
Volunteers in the same contact base
Very often the same person is a volunteer, a donor and a member. Kept in separate files, those roles are never seen together. In 4ong people are contacts in a single base, with tags and roles, and GDPR consent is recorded per channel, with history. You send messages to volunteers yourself, outside the platform: 4ong does not send e-mails, SMS or notifications to volunteers.
