From sign-up to the first activity
The volunteer signs up with contact details, skills and the time slots when they can be available. The coordinator creates the activity — a clean-up day, an aid distribution, a workshop — with the date, place, number of volunteers needed and the person responsible. Assignment is made from the list of those available, and volunteers receive their confirmation. None of this depends any longer on who keeps the good list on their personal phone.
Logging hours, and why it matters
Hours are logged per activity, not globally at year end. That way you know exactly how many hours each volunteer contributed, how many hours a project consumed, and what the voluntary work in your organisation is worth as a contribution. For funder reports, volunteer work is often recognised as co-financing — and a log kept per activity is the only one that survives a check, unlike a round number estimated at the end.
Agreements and certificates under Romanian Law 78/2014
The volunteering law requires a written volunteer agreement and gives the volunteer the right to a certificate attesting the activity carried out. In 4ong the agreement is generated from the volunteer record and stays attached there, together with the training record and the consents signed. The certificate is issued from the hours already logged and the activities the volunteer took part in, so it no longer has to be reconstructed from memory when a student asks for it.
Volunteers in the full picture of the organisation
Very often the same person is a volunteer, a donor and a member. Kept in separate files, those three roles are never seen together, and the organisation ends up asking for money from someone who has just given forty hours. In the platform the person is one, with their roles, and communication can be informed by that.
