Quick start and data import
How long does it take to get our association running on 4ong?
You can start in minutes: create the organisation, switch on the modules you need (donors, campaigns, volunteers, projects) and invite your colleagues. Setting up a small association — importing donors, opening one campaign and listing volunteers — usually takes a single working day.
Can I import the donors and members we currently keep in spreadsheets?
Yes. Export the file as CSV and upload it to 4ong, then map the columns onto our fields (name, email, phone, donor type, amount, date). The import detects duplicates by email and tax or personal identification number, so the same person doesn't end up in the database three times. You can run a test import on a few rows before confirming.
What actually changes when we move from paper records and Google Forms to 4ong?
Instead of a receipt book, a volunteer spreadsheet and a folder of contracts, you get one database where every donor, member and volunteer has a full history. Google Forms stay useful for quick sign-ups — you import the responses into 4ong, where you issue receipts, track membership fees and report volunteer hours without copying anything by hand.
Donors and donations
How do I keep track of donors and donations?
Every donor has a record with contact details, giving history, the campaigns they supported and the documents issued in their name. You immediately see the lifetime total, the date of the last gift and whether a recurring commitment is active. Donors can be segmented — individuals, companies, recurring donors, lapsed donors — and worked on as lists.
How do recurring donations work?
You register a recurring commitment (monthly, quarterly or yearly) with an amount and a start date, and 4ong follows every due date, showing what has been collected and what is outstanding. When a recurring gift stops, the donor appears on the win-back list so you know who to contact.
Can I issue documents for donations and sponsorships?
Yes. For gifts from individuals you generate numbered receipts, and for corporate support you keep the sponsorship contracts concluded under Romanian Law 32/1994. Companies need those documents for the deduction provided by the Fiscal Code (Law 227/2015, art. 25 para. (4) letter i)), and you have them grouped by donor and by fiscal year.
Does it also handle the 3.5% income tax redirection?
Yes. You record the form 230 submissions you receive — on paper or collected online — grouped by fiscal year and by the person who brought them, and you follow how many were filed and how much actually arrived. The amounts are only transferred if your organisation is entered in the register of entities/religious units (registration via form 163), and 4ong keeps the data you need for that file and for the board report at hand.
Fundraising campaigns
How do I build a fundraising campaign?
You create the campaign with a fundraising goal, a period and a clear purpose, then link donations, events and the volunteers involved to it. The campaign page shows in real time how much of the goal has been raised, how many donors contributed and what the average gift is.
Can I run several campaigns in parallel?
Yes. Each campaign has its own goal, its own cost budget and its own reports, and donations are allocated to a campaign as they are recorded. You compare what worked — the Christmas appeal, an emergency fundraiser or the 3.5% redirection campaign — and decide where your team's effort is worth spending next year.
What reports do I get when a campaign ends?
A campaign report with the total raised against the goal, the number of new and recurring donors, the source of the gifts and the cost of the campaign. You can export it for the board or for the association's annual activity report.
Volunteers and volunteer hours
How do I manage the volunteer base?
Each volunteer has a record with contact details, availability, skills and the activities they took part in. You can group them by team or project and see at a glance who is active, who hasn't shown up for months and whose volunteering contract has expired.
Does 4ong keep the volunteering contracts required by Law 78/2014?
Yes. For each volunteer you record the volunteering contract and the activity sheet required by Romanian Law 78/2014, with the start date, duration and activity. When the collaboration ends, you have everything you need for the volunteer certificate and the activity report attached to it.
How are volunteer hours logged?
Hours are booked against an activity, a project or an event — either by the coordinator or by the volunteer, with later validation. Totals accumulate automatically per volunteer, per project and per period, which serves both the volunteer certificates and the reporting of in-kind contribution to funders.
Projects, grants and reporting
How do I track a funded project?
Every project holds the funder, the grant contract, the implementation period, the budget by line and the planned activities. Expenses are allocated to a budget line, so at any moment you see how much of each line has been spent and what is left until the project ends.
What helps me with reporting to the funder?
You get budget execution by line, the list of expenses with supporting documents attached, the volunteer hours booked on the project and the result indicators. The financial and narrative reports come out of that, instead of being rebuilt from bank statements and binders a few days before the deadline.
Can I manage funds from several funders at the same time?
Yes. Grants, sponsorships, donations and membership fees are kept apart, each with its own designation, so you can prove that restricted funds were used according to the contract. You also see the organisation's consolidated position across all income sources.
Members and membership fees
How do I keep the register of members?
You have the member register with the joining date, the type of membership (founding member, member, honorary member), the current status and the history of the general assembly decisions concerning them. The structure follows the record-keeping requirements of an association set up under Romanian Government Ordinance 26/2000.
How do I track membership fees?
You define the fee per member category and per period, and 4ong shows who has paid, who is in arrears and for how long. You can send reminders before the due date and pull the list of members entitled to vote in the general assembly without checking bank statements by hand.
Pricing and account
Why don't you charge per user?
Because in a non-profit the number of people involved changes from month to month, and per-user pricing would push you to keep volunteers and coordinators outside the system. With 4ong you pay one subscription with every module included and add as many colleagues and volunteers as you need, at no extra cost. Payment is by card or bank transfer, monthly or annual, with a discount for annual payment.
Is there a trial period?
Yes, you start with a no-card trial in which you can import your real data and set up your first campaigns. If you decide to continue, the data stays exactly where you put it — you don't redo the setup from scratch.
Can I administer several entities from the same account?
Yes. If you run both an association and a foundation, or local branches, you manage them from one account and switch between them, each with its own donors, campaigns, volunteers and projects. You define roles and permissions per user — a volunteer coordinator, for example, doesn't need to see donation amounts.
What support do I get and how does 4ong connect to the rest of the 4b2b ecosystem?
You get in-app support and assistance with data migration. 4ong is part of the 4b2b ecosystem alongside 4invoices (invoicing), 4notify (SMS and WhatsApp), 4appointments (scheduling) and 4hosting — so you can send donor thank-you messages through 4notify or issue invoices for the organisation's services through 4invoices.
Security and GDPR
Where is donor data stored and how do we stay GDPR-compliant?
Data is hosted in the European Union and can be exported at any time, with no vendor lock-in. Every person in the database carries their consent and communication preferences, so an access or erasure request is answered from their record, with a log of what was done. Access is granted by role, so sensitive donor and beneficiary data is only visible to those who need it.
What happens to our data if we stop using 4ong?
You export donors, members, volunteers, donations and projects in an open format whenever you want, so you can take them elsewhere or archive them under your own retention policy. We never block the export or hide it behind a higher plan. Backups run daily and the organisation keeps control of its own data.
