What a donor record looks like

The record gathers, on a single screen, contact details, communication consent, the source through which the supporter reached the organisation (an event, a referral, an online campaign, the tax-redirection form) and the complete list of amounts received, with date and payment method. Below it sits the communication history: which report you sent, which event they attended, which thank-you they received. So when you prepare the year-end campaign you no longer send everyone the same message — you know who has given for five years, who gave once, and who stopped three months ago.

Recurring gifts tracked automatically

Recurring gifts are the most stable income an NGO has and, paradoxically, the worst tracked: a standing order stops and the organisation finds out six months later. In 4ong each recurring gift carries its amount, frequency and next expected date. When an expected payment does not arrive, the platform flags it so you can call or write to the supporter before the relationship goes cold. The monthly report shows how many recurring supporters you have, what share of total income they represent and what your retention rate looks like.

Receipts, certificates and the tax-redirection campaign

From the donor record you generate the donation receipt and, on request, the annual certificate with the total received — the document many supporters ask for. Separately, the platform keeps the list of people who chose to redirect 3.5% of their income tax to the organisation, with the year, the filing status and the amount actually received. Because the history carries over year to year, you know exactly whom to contact again in February and March, instead of rebuilding the list from scratch each time.

Protecting supporter data

Donor data is personal data, and in many organisations it currently travels as email attachments. 4ong keeps it in one place with role-based access: the volunteer preparing an event does not see the amounts, the accountant sees the transactions, and the board sees the aggregate reports. Can I import my donor list from a spreadsheet?

Yes. Upload the files you use today, map each column, and the platform creates the donor records. Supporters appearing in several lists are proposed for de-duplication so the same person does not end up three times in your database.

How do I know a recurring gift has stopped?

Every recurring gift has an expected date for the next payment. If the amount does not arrive within the set window, the gift is flagged as interrupted and appears in the follow-up list so you can contact the supporter.

Does the platform issue donation receipts?

Yes. The receipt is generated from the donor record with continuous numbering and stays in the organisation’s downloadable archive. The annual certificate with a person’s total giving is issued from the same place.

How does it help with the 3.5% tax-redirection campaign?

The platform tracks the people who chose to redirect 3.5% of their income tax, with the year, status and amount received. The history is kept year to year, so you know whom to contact again and what the previous campaign brought in.

Can corporate sponsorships be recorded too?

Yes. A donor can be an individual or a company. For companies, the sponsorship agreement and amount are linked under Romanian Law 32/1994, and the annual report separates individual giving from corporate giving.

Who in the organisation can see the amounts donated?

Access is granted by role. A volunteer may only see the contact details needed for an event, while amounts and financial documents stay visible only to the roles that need them.

Does the donor module replace accounting software?
