What a donor record looks like
The contact record gathers, in one place, the details of the person or organisation, their tags and roles, and GDPR consent for each channel — e-mail, SMS, phone, post — with its history. Next to it sit the donations your team has recorded, with date and type: donation, membership fee or sponsorship. Because a donation is never deleted, only cancelled, the history stays verifiable. The income report and the top-donors list are calculated from the same data, so when you prepare the year-end campaign you know who has given for years and who gave once.
Recurring pledges: a register, not collection
Recurring gifts are the most stable income an NGO has and, paradoxically, the worst tracked: a standing order stops and the organisation finds out six months later. In 4ong each recurring pledge carries its amount, frequency and next due date, and when an expected payment has not been recorded, the pledge shows as missed and appears in the in-app alerts. Be clear about what this means: 4ong collects nothing automatically — there is no direct debit and nothing is drawn from a card. You record the payment when it reaches your account, and the register shows you in time who has fallen behind. The pledge register is available from the Plus plan.
Numbered receipts and annual certificates
From the donation record you generate the receipt, in a continuously numbered series with no gaps (for example CH-2026-000001), and for each donor you can generate the annual donation certificate — from the Plus plan. Issuing is an action you take: nothing is sent to the donor by itself. Printable documents follow Romanian-law templates and are in Romanian. Separately, the register of people redirecting income tax holds their national ID numbers validated by check digit and stored encrypted, masked in lists, with a countdown to the yearly deadline and a CSV export for the organisation’s consolidated statement. 4ong files nothing with the tax authority — you or your accountant do that.
Protecting supporter data
Donor data is personal data, and in many organisations it currently travels as email attachments. 4ong keeps it in one place with role-based access by section: the volunteer preparing an event does not need to see the amounts, and the accountant sees what they need. Communication consent is recorded per channel with its history, the national ID number in the income-tax register is stored encrypted, and on a person’s request their data can be anonymised. 4ong does not send messages to donors by itself: the recorded consent is a register you respect when you communicate outside the platform.
